OnlyTechs for QuickBooks Online
OnlyTechs is a QuickBooks Online companion app for field-service businesses. It pulls live finance data out of QuickBooks Online and stitches it together with the day-to-day operational data a small services company already tracks (jobs, customers, crews, and tickets) so owners and back-office staff can see “is the business actually making money this week?” without leaving the operations cockpit.
What OnlyTechs does with QuickBooks
OnlyTechs uses the QuickBooks Online Accounting API and QuickBooks Webhooks to keep an always-current view of the customer’s books inside the OnlyTechs Operational HQ dashboard. Specifically, when a customer connects QuickBooks Online to OnlyTechs:
- Live finance snapshot. OnlyTechs pulls the QuickBooks Online Profit and Loss, Balance Sheet, and Cash Flow reports plus current cash position and renders them on the home dashboard alongside open jobs.
- Open invoices & recent payments. OnlyTechs queries QuickBooks for open invoices (Invoice, with AR aging) and recent Payments so the team can see who owes money and who paid this morning, ranked next to the jobs that produced those invoices.
- Customers & vendors. OnlyTechs reads the QuickBooks Customer and Vendor lists so an internal customer record in OnlyTechs can be linked to the same company in QuickBooks, one ID instead of two.
- Items & chart of accounts. OnlyTechs reads the QuickBooks Item and Account lists to label invoice line items and revenue streams consistently between the two systems.
- Real-time webhook sync. OnlyTechs subscribes to QuickBooks Webhooks for Invoice, Payment, Customer, Bill, Estimate, Vendor, and Item entities. When anything changes in QuickBooks (an invoice gets paid, a customer’s phone number is updated, a new bill is entered), QuickBooks pings OnlyTechs and the dashboard refreshes within seconds. No manual refresh, no batch overnight job.
Who OnlyTechs is for
OnlyTechs is built for owner-operated field-service businesses that use QuickBooks Online as their book of record: cabling contractors, low-voltage installers, audio/visual shops, network installers, IT-services companies, and similar trades. These customers already have QuickBooks. What they don’t have is a single screen that combines “what jobs are running today” with “what is our cash and AR position right now”, and that’s the gap OnlyTechs fills.
How OnlyTechs improves the QuickBooks experience
OnlyTechs makes QuickBooks Online materially more useful in three concrete ways:
- It facilitates a business process by syncing QuickBooks data into operations. Without OnlyTechs, a dispatcher checking whether a job’s invoice has been paid has to: open a separate browser tab, sign in to QuickBooks Online, search for the customer, click the invoice, check the status, then come back. With OnlyTechs, that information is already on the job card, pulled live from QuickBooks, before the dispatcher even asks.
- It streamlines the owner’s daily “how are we doing” check-in. Most small business owners pull a P&L and a cash position from QuickBooks two or three times a week to stay oriented. OnlyTechs surfaces those same numbers automatically on login, refreshed live by webhook, so the owner gets the same information in zero clicks instead of five.
- It improves data hygiene between operations and accounting. By making the QuickBooks Customer ID visible next to every internal customer record, OnlyTechs helps the back office catch duplicate customers and mismatched names, the kind of small data drift that turns into reconciliation pain at month-end.
A concrete example
A typical Glass House Technologies customer runs a 6-person cabling crew. Before OnlyTechs, the owner’s morning routine was: open Google Calendar to see what’s scheduled, open a job-tracking spreadsheet to see crew assignments, open QuickBooks Online to see what invoices are open and what cash position they have, open Gmail for customer threads. Four tabs, four sign-ins, four mental contexts.
With OnlyTechs connected to QuickBooks Online, the same owner opens one URL. The Operational HQ dashboard shows: today’s scheduled jobs, the crews assigned to each, the linked QuickBooks customer (with their current AR balance pulled live), the company’s cash position from QuickBooks, and the last five payments received in QuickBooks. That is the “facilitate a business process by syncing QuickBooks data to another service” use case, exactly as Intuit defines it.
Scope of QuickBooks access
OnlyTechs requests the standard Intuit OAuth 2.0 scope
com.intuit.quickbooks.accounting. We do not request payroll scope. The
integration is read-only today: OnlyTechs does not create,
update, or delete records in QuickBooks Online. If we add write-back features (for
example, creating an invoice in QuickBooks when a job is marked complete in OnlyTechs),
we will request consent from the customer and document the new behavior here before
enabling it.
Connecting QuickBooks to OnlyTechs
- Sign in to OnlyTechs as an Owner or Admin at onlytechs.ght.network/login.
- Open Settings → Integrations.
- Click Connect QuickBooks and authorize OnlyTechs on the Intuit consent screen.
- You’re redirected back to OnlyTechs. The Operational HQ dashboard starts showing live QuickBooks data within a few seconds.
Disconnecting
You can disconnect at any time from the Intuit App Hub or from Settings → Integrations inside OnlyTechs. Full details, including what we delete and how to reconnect, are on the Disconnect page.
